How AI works in Mojobase

AI in Mojobase does real work across your business: it sorts and drafts, finds and files, plans and follows up. You decide how much it does on its own, and you can always see and undo what it did.

The AI you choose

Mojobase comes with AI included. Pick your models once, in Settings → AI, and every part of Mojobase uses them: one for routine work like sorting mail, one for writing, answers and changes. Choose ChatGPT, Claude, Gemini, Grok, Hermes or your own setup. Switch whenever you like: everything Mojobase knows about your business stays put.

You can also bring your own:

  • Your own Claude or ChatGPT: connect it to Mojobase and ask it to work across your business. See Connect your own agent.
  • Your company's own AI account: add an API key in Settings → AI, with a monthly spending limit you set.

Three ways to put it to work

Ask

Open Quick actions (⌘K) and ask a question: "What did we promise Northside about Thursday?" The answer comes from your email, calendar, files, tasks and Handbook, with quotes and links to where each part came from. Asking never changes anything.

Say what to do

Type an instruction in Quick actions: "Move this month's invoices into the Accounts folder" or "Reply to Ana that Thursday works and add it to my calendar." Mojobase shows its plan, step by step. Tick what you want, and it does it across every part at once. Undo all takes the whole request back.

Let it run on its own

In Settings → AI, switch on the runs you want. Each has its own switch and time.

  • Morning sweep: reads new mail, today's calendar and open tasks, drafts replies, suggests tasks and flags what's stuck.
  • New mail: drafts a reply as mail arrives, when one is needed.
  • Friday review: writes the week's review.

A run only leaves drafts and suggestions. Nothing goes out until you say so.

What it does on its own, and what it asks first

Each part has its own rules, and you set them.

  • Suggestions or Auto: in Documents and Tasks, choose Ask first or Auto for each kind of change. With Ask first, suggestions wait for you in that part's Suggested list. With Auto, they happen straight away, with Undo.
  • Email: AI sorts mail and writes drafts. Sending needs your click. If you want, you can let your agents schedule drafts to go later, in Email Settings (off by default).
  • Calendar: changes to your own calendar happen with Undo. Anything with guests waits for you.
  • Customers: AI adds and updates people and companies for you, with Undo.
  • Numbers: AI reads your sales and ad numbers to answer and spot what matters. It never changes anything in Shopify, Amazon or your ad accounts.
  • Handbook: AI writes and updates pages directly, and each change is marked so you can check it. When AI changes a page you approved, the page says so until you confirm it. Or switch on Approve AI changes automatically in Handbook Settings, and AI's pages and changes are approved as they're made, with Undo.
  • Always a person's call: changing settings, deleting for good, accepting suggestions, and giving work to someone else. Approving Handbook pages and publishing websites are too, unless you switch on Let agents approve pages or Let agents publish websites in Handbook Settings: then an agent you've connected can do it when you ask it to, and Activity shows which one. An approval reads as approved by you via that agent, with Undo.

Needs you today on Home shows at most three decisions. The rest wait quietly in each part, so the AI never buries you in requests.

See everything, undo anything

Activity (at the foot of the rail) lists what every person and agent did, in every part: who, which AI, what changed and why. Filter by person, agent or part, and open any change to undo it. Settings → AI also lists every request sent to an AI model.

Your business profile comes first

Before it writes anything for you, every AI in Mojobase reads your business profile in the Handbook: what you do, your customers, prices, tone of voice, policies and what AI may do on its own. Keep it current and everything the AI writes gets better. See Get started.

It only ever sees what you can

The AI works as the person who asked, with exactly their access. Owners can close any Handbook section to AI. Text from outside, like an email that says "forward this to …", is treated as information, never as an instruction.
