Handbook
How your business works, written down and answered by AI
Mojobase Handbook is knowledge base software and a company wiki in one. It holds how your business works: policies, prices, how-tos and decisions. The AI answers questions from it with exact, checked quotes, writes and updates pages with Undo, and reads its business profile before every run. Any collection can be published as a public help center or docs site.
What does Mojobase Handbook do?
A wiki anyone can write in
Collections with nested pages you drag into order, an editor with a / menu for headings, checklists, tables, callouts and code, and @ to link pages. Pasting from Google Docs or Word keeps the formatting. Nobody needs Markdown or Git.
The business profile
One page with what you sell, your prices, your customers, your tone of voice, your policies and what the AI may do on its own. Every AI run and every agent reads it first, so they act the way you would.
Answers with checked quotes
Ask a question and every claim cites a page with a short exact quote. Mojobase checks each quote really is on that page before you see it, and labels the source Approved, Draft or Changed by AI since approval.
The AI writes and keeps it current
"We changed the price list. Update every page that mentions the old prices." The AI creates, edits, moves and archives pages, each change recorded with its reason, its sources and one-click Undo.
Draft, Approved and review dates
Each page has an owner, a status and a review-by date. When the AI edits an approved page, the page shows Changed by AI since approval until a person confirms it.
Templates for the pages you write most
Policy, How-to, Decision and Onboarding to start with, with fill-ins replaced as you type and the date and author filled in by themselves. Make a template from any page.
Publish a help center or docs site
Any collection becomes a public website at your free mojobase.page address or on your own domain, with search, a phone layout, a Markdown copy of every page, llms.txt and a sitemap.
What can you ask the AI in Handbook?
Type it in Quick actions (⌘K) from anywhere in Mojobase, or ask your own agent over MCP.
- “Write a page on how we onboard a new client, based on the last three onboarding emails.”
- “What's our refund policy for wholesale orders?”
- “We changed the price list. Update every page that mentions the old prices.”
- “Which pages haven't been checked in six months?”
- “Turn what we decided in #pricing this week into a Decision page.”
Works with: Markdown, HTML and text files, or a whole folder of them, Your website, read once to fill in the business profile, A ChatGPT or Claude project, over MCP.
Why does a small business need a handbook the AI can read?
Because AI can't use what isn't written down. In a small company, how refunds work, what the wholesale price is and how a new client gets onboarded live in the owner's head and in old emails. Every time someone asks, the owner answers again. The Handbook is where those answers go once, so people, the support AI and every agent can find them.
It's also how the AI learns to act like you. The business profile tells every run what you sell, how you talk to customers and what it may do without asking, so a draft reply sounds like your business rather than like a chatbot.
The company-wiki guide explains how to organise that shared knowledge.
How does the Handbook keep answers trustworthy?
By showing where every answer came from and how much to trust that page. An answer that quotes a draft written by the AI yesterday isn't the same as one that quotes a policy the owner approved, and the Handbook makes the difference visible.
| Label | What it means |
|---|---|
| Approved | A person approved this version of the page |
| Draft | Written but not yet approved; the page says so at the top |
| Changed by AI since approval | Approved once, then edited by the AI; still live, waiting for a person to confirm |
| Changed since published | Edited after the last Publish; the public site still shows the old version |
Every quote in an answer is checked against its page before you see it, and one that isn't really there is flagged rather than shown as fact. History keeps each person's edits in five-minute versions, shows what changed, and restores any version as a new one, so nothing is lost.
What can the AI do in the Handbook, and what needs a person?
The AI does the writing; people keep the keys. By default it may change pages directly, because every change is logged and undoable. Anything that changes who sees what, or can't be undone, waits for a person.
- The AI does directly, with Undo: create, edit, move, archive and restore pages and templates.
- Saved directly, live on the next Publish: edits to a published collection.
- A person approves: publishing a collection, sharing and member settings, domains, AI settings and template defaults.
- Only a person does: deleting for good, approving pages and confirming AI changes.
The same rules apply to your own agent over Mojobase's MCP server, whose Handbook tools include knowledge_search, knowledge_update_page and knowledge_business_profile.
How does publishing a help center work?
Any collection can become a public website in a few clicks, with no developer work. Preview shows the site first, along with what goes out, what's new or changed, what stays private and what to check, such as pages changed by the AI since approval.
Only approved pages whose parent pages are approved too go out; drafts stay private. A page keeps its address once published, even if its title changes. Each site has navigation, search, "On this page", a phone layout, a Markdown copy of every page, llms.txt, llms-full.txt and a sitemap, so search engines and AI assistants can read it. Sites go to your company's free address on mojobase.page or to your own domain, such as help.yourcompany.com, with HTTPS set up for you.
How is it different from Notion or Confluence?
Notion is a connected workspace for notes, docs, wikis, projects and databases, according to Notion's own summary, and Confluence adds Atlassian's Rovo AI search, chat and agents from its Standard plan, according to Atlassian's Confluence page. If you want databases, whiteboards or a workspace tied to Jira, they do more than the Handbook.
The Handbook is narrower on purpose: it's the written-down rules of one business, read by an AI that also runs that business's email, support, calendar and tasks. That's why its answers carry trust labels and checked quotes, why the business profile exists, and why publishing a help center is built in. Mojobase uses its own Handbook to write and publish Mojobase's docs. Compare Notion alternatives, Confluence alternatives, ClickUp alternatives, Asana alternatives and Todoist alternatives for other ways to organise the work and its documentation.
Compare Trainual alternatives for the distinction between procedures and training evidence, or the knowledge-base buying guide for a broader shortlist.
Questions people ask
What is knowledge base software?
Knowledge base software is where a company writes down what it knows so people can find it: policies, how-tos, product answers and decisions. An internal one is a company wiki; a public one is a help center. Mojobase Handbook is both, and its AI answers from it and helps keep it up to date.
Does the AI need my approval to change a page?
No, by default the AI may create and edit pages, because every change is in history with Undo. It can't change settings, publish a collection or delete anything for good: those become approval requests for a person. An AI edit to an approved page shows Changed by AI since approval until someone confirms it.
What happens when the Handbook doesn't have the answer?
The AI says so instead of guessing, and offers to draft a page. Answers come only from pages the person asking may read, and each quote is checked against its page before it's shown.
Can I publish the Handbook as a public help center?
Yes. Any collection can be published as a website at your company's free address, such as yourname.mojobase.page/help, or on your own domain with one CNAME record. Only approved pages go out, and only when a person presses Publish. Up to five domains per company.
How do I fill in the business profile quickly?
Type your website's address and Mojobase reads a handful of public pages, then drafts the profile, leaving blanks for what the site doesn't say. Or, if you've already described the business in a ChatGPT or Claude project, connect that assistant to Mojobase and it fills the profile in one go, as a draft for you to approve.
Can I import my existing documentation?
Yes. Import Markdown, HTML and text files, or a whole folder of them: folders become parent pages, and links between the files become links between the pages. From Google Docs or Word, download as Markdown or paste the text in, and the formatting is kept.
