Which should you choose, Mojobase or Microsoft 365?
Choose Microsoft 365 if
- Your work is in Word, Excel and PowerPoint, and you need the desktop apps.
- You meet and call in Teams, host webinars or need Teams Phone.
- You need device management and threat protection for the whole company, as in Business Premium.
- You want email and office apps for a handful of people at the lowest price: Business Basic is $7 a user paid yearly.
Choose Mojobase if
- The same few people sell, answer support, send invoices and plan the week, and want one AI that sees all of it. Mojobase is built for 1 to 25 people, and it works well for teams up to 100.
- You want a customer list and a support inbox that fill in from your email, without buying Dynamics or a help desk.

What's the real difference between Mojobase and Microsoft 365?
Microsoft 365 is the office: Outlook, Word, Excel, PowerPoint, OneDrive and Teams, plus apps such as Bookings, Planner, Forms, Loop and Clipchamp, all under one admin center. Mojobase is the business's front desk and back office: who the customers are, what they asked for, what's due, who owes money and how sales went, with email, calendar and documents as the parts it shares with Microsoft 365.
That decides what the AI can see. Copilot Chat on the business plans doesn't use your organisation's files, emails or chats; Microsoft 365 Copilot does, grounded in work data, from Business Standard with Copilot. Mojobase's AI reads your mail, calendar, tasks, customers, invoices and Handbook on every plan, and only what each person is allowed to see. A morning run drafts the replies, suggests tasks and flags what's stuck before you open your inbox.
Can Mojobase host my business email instead of Outlook?
Yes. Mojobase hosts business email on your own domain, so your addresses can live in Mojobase with no Microsoft account behind them. If you'd rather keep Outlook, connect it: Mojobase reads the mailbox and calendar you already have, and the calendar syncs both ways. Shared addresses such as sales@ or support@ can be seen by the people who need them, and a support address can feed the support Inbox in Customers.
Which one costs less for a team of five?
Microsoft 365 costs less on its own. Business Basic, with web and mobile Office apps, Outlook and Teams, is $7 a user a month paid yearly; Business Standard, with desktop apps, is $14 a user, or $70 a month for five. Adding Microsoft 365 Copilot means Business Standard with Copilot at $23.50 a user paid yearly, with usage-based billing for some advanced AI features. Mojobase for five is $139 a month, or $105 for the first 10 companies, with AI included.
What tips it is the rest of the stack. A Microsoft 365 team usually adds a CRM, a help desk and an invoicing tool. Mojobase includes the first two and reads the company's Stripe invoices, so unpaid amounts sit beside the customer history. Stripe handles invoice creation, payments and status. Mojobase doesn't include Excel, PowerPoint or Teams calls.
Where is Microsoft 365 the better choice?
Microsoft 365 is the better choice whenever the work is documents, spreadsheets, decks or calls. Desktop Word, Excel and PowerPoint, Teams meetings and webinars, Teams Phone, 1 TB of OneDrive storage a user, and Business Premium's device management and threat protection have no equivalent in Mojobase. Microsoft's Work IQ MCP server also exposes mail, calendar and Teams chats to agents, with writes blocked until an admin allows them. Companies with dozens of staff on Windows devices, or customers who send everything as Word and Excel files, will keep Microsoft 365, and can connect Outlook to Mojobase for the rest.
Can you use Microsoft 365 and Mojobase together?
Yes, and it's a common start. Connect Outlook and your Microsoft calendar once; Mojobase builds the customer list from the people you write to and meet, finds tasks in your email and drafts replies, while Word and Excel files stay in OneDrive and can be uploaded to Documents when the AI should read them. Later, Mojobase can host the email itself, and Microsoft 365 can shrink to the people who need the Office apps.

Can Mojobase replace Microsoft 365?
For email, calendar, documents and team chat, yes: Mojobase hosts email on your domain and holds documents, files and channels. It has no spreadsheets, slides, desktop Office apps or video calls, so teams that live in Excel or Teams meetings usually keep a Microsoft 365 plan beside it.
Does Mojobase work with Outlook and Microsoft 365?
Yes. Connect your Microsoft account once and Mojobase reads your Outlook mail and calendar with Microsoft's permission, syncing the calendar both ways. You keep your address and Microsoft 365 plan, and the AI sorts the mail and drafts replies from the rest of the business.
How much does Copilot cost in Microsoft 365?
Copilot Chat comes with eligible business plans, but it doesn't use your organisation's files, emails or chats. Microsoft 365 Copilot, grounded in your work data, comes in Business Standard with Copilot at $23.50 a user a month paid yearly, Business Premium with Copilot at $32 a user, or as an add-on.
Which is cheaper for a team of five?
Microsoft 365, for email and office apps: five people on Business Standard are $70 a month paid yearly. Mojobase is $139 a month for five, and it covers the CRM, help desk and task app a small team often buys beside Microsoft 365, plus Stripe invoice tracking. Stripe remains the invoice and payment system; Mojobase has no Excel, PowerPoint or Teams calls.
Is my data used to train AI models?
Mojobase sends only the content a feature needs to the AI provider running it, under terms that don't allow training on it, and keeps each company's data on its own server in Helsinki, Finland. Microsoft publishes its own terms for Copilot on its site.
