Tasks

Tasks that AI captures, plans and chases

Mojobase Tasks is an AI task manager with Todoist's familiar Quick Add, Today and Upcoming. The AI finds work in your email and meeting notes and suggests it as tasks linked to the source, plans your day, and suggests ticking off what's done when it sees the evidence. Suggestions wait for one click, or apply themselves in Auto mode.

Mojobase Tasks: today's tasks, including ones the AI suggested from a meeting.

What does Mojobase Tasks do?

Quick Add that understands you

Type "Send Acme the quote fri p1 #Sales +Sam" and the date, priority, project and assignee are picked out as you type, using Todoist's syntax. Messier sentences go to the AI and come back as tidy tasks.

Tasks found in your email

A customer asks for a revised quote by Thursday, and a suggested task appears in your Inbox, linked to the email. A plain "reply to this" stays in Email's To do, so nothing is counted twice.

Meeting notes into to-dos

Paste notes or a list of actions, see a preview of the tasks the AI found, with dates and owners, and keep the ones you want.

Plan my day

A short focus list for today with one line of reason for each task, and suggested new dates for the rest, so Today shows what you can actually finish.

Done, with the evidence

You sent the quote with the PDF attached, so the AI suggests ticking off "Send Acme the quote" and shows your sent email as the proof.

Shared projects and one owner per task

Projects with sections and members, one assignee per task, and Assigned to me and Assigned by me lists. Someone given a task hears about it by email.

Repeats and reminders that behave

"every" counts from the date and "every!" from when you finish, with "until" and "starting". Reminders come at the task's time in each person's own time zone, plus any you add.

Bring your Todoist with you

A one-way import of your Todoist projects, sections, labels, repeats and who each task is assigned to. Run it again to catch up; one Undo takes the whole import back.

What can you ask the AI in Tasks?

Type it in Quick actions (⌘K) from anywhere in Mojobase, or ask your own agent over MCP.

  • “Remind me to chase the Acme quote on Friday.”
  • “What do I actually need to do today?”
  • “Pull the action items out of these meeting notes and give each an owner.”
  • “Renew the van insurance every 12 months, three weeks before it's due.”
  • “What's slipping this week, and what's holding it up?”
  • “Move everything overdue that isn't urgent to next week.”

Works with: Todoist (one-way import), Email, for tasks found in conversations, Calendar, for tasks with a time and time blocks.

Why does a small business need tasks that the AI captures?

Because most of a small business's to-dos never get typed. They arrive inside an email ("could you send the revised quote by Thursday?"), a meeting ("I'll check stock and get back to you") or a chat, and they live in someone's head until they slip. Mojobase Tasks sits next to that email, calendar and chat, so the AI can notice the work, write it down with a link to where it came from, and keep the list honest.

You still have a normal task manager a person can run without AI: Quick Add, Inbox, Today, Upcoming, Projects, Labels, Search and Completed, on a computer and a phone.

What does the AI suggest, and from what?

The AI suggests from what you can already see, and every suggestion carries its source. You accept it in one click, edit it first, or dismiss it.

The AI notices It suggests
An email that asks for real work or names a date A new task linked to the conversation
Notes or text you paste in A preview of tasks, with dates and owners, to keep or drop
A task sitting unsorted in the Inbox A project, label, date or priority
Your sent email with the quote attached Ticking off the matching task, with the email as proof
A day with more due than you can do A short focus list and new dates for the rest
Overdue tasks nobody has touched Moving them, or asking whether they're still needed

Suggestions arrive in Suggested at the top of the Inbox. Under Auto mode, those about your own tasks apply at once instead, and the top of Today says what changed: "AI added 3, moved 2, completed 1".

The workflow automation guide explains how a captured request becomes a checked next step.

What does the AI never do on its own?

It never touches someone else's work without a person's OK. In both Ask and Auto mode, these always wait:

  • Assigning a task to someone, or changing or completing their task.
  • Nudging a teammate about overdue work. Once you approve it, the nudge goes through Email under Email's own rules.
  • Deleting a task. The AI can suggest it; a person deletes.
  • Anything that leaves Mojobase, such as an email to a customer.

When you ask directly, in Quick actions (⌘K) or through your own agent, the AI acts at once with history and Undo, apart from the list above.

How is it different from Todoist?

Todoist is a strong personal task manager. It has list and board views on every plan, calendar and table layouts from Pro, Ramble to turn speech into tasks, and an official MCP server, according to Todoist's pricing page and its AI tools page. If you want boards or voice capture, it does more than Mojobase.

Mojobase Tasks keeps Todoist's Quick Add syntax and repeat rules, so moving over takes minutes, and imports your Todoist projects one way. What it adds is the rest of the business: the AI reads your email, calendar, documents and team chat, so it can find tasks nobody typed and tell when they're done. The same tools are open to your own agent over Mojobase's MCP server: task_quick_add, task_update, task_complete and suggestions_list, under the same rules as the page. The alternatives guides cover Todoist, Asana, ClickUp, Notion and Confluence.

How do tasks and the calendar work together?

Dated tasks show on your calendar beside your events, and dragging one onto a time blocks that time for it. Ask "block two hours tomorrow for the supplier quotes task" and Calendar finds two free hours and places a private block, with Undo. Meeting notes written up in Calendar turn into suggested tasks here, each linked back to the meeting.

Questions people ask

What is an AI task manager?

An AI task manager adds the work you'd otherwise type by hand: it finds tasks in email and notes, suggests dates and projects, plans your day and notices when something is done. Mojobase Tasks does this from your real email, calendar and documents, with a source link on every suggestion.

Does the AI add tasks without asking me?

In Ask mode, the default, every suggestion waits in Suggested at the top of your Inbox for Accept, Edit or Dismiss, with Accept all for a batch. In Auto mode, suggestions about your own tasks apply straight away, marked with a small AI badge and summed up once a day at the top of Today.

Can the AI assign work to my teammates?

Only with your OK. Anything that affects another person, such as assigning, changing or completing their tasks or nudging them, always waits for a person in either mode. So does deleting a task, and anything that leaves Mojobase, such as an email.

Can I import my tasks from Todoist?

Yes. The import is one-way and read-only: it copies your projects, sections, labels, repeats, due dates and who each task is assigned to, using your own Todoist token, which isn't kept. Run it again to bring in what changed, and one Undo takes the whole import back.

Does Mojobase Tasks have a board view?

No. Tasks shows lists: Inbox, Today, Upcoming by day, Projects with sections, Labels, Search and Completed. Dated tasks also show on your calendar, where dragging one onto a time blocks it. If you plan work on boards, Todoist, Trello or Asana fit better.

How does the AI learn what I want?

From your choices. Every accept, edit and dismiss is kept, and the latest 25 go to the model as examples, the same way Email's labels learn from your corrections. A source link on each suggestion shows why it was made.
