Use case
Turn emails into tasks
Mojobase reads incoming email for real work and dates, such as “can you send a revised quote by Thursday?”, and suggests a task with a title, a date and a link to the message. Suggestions wait in Tasks to accept, edit or dismiss, one by one or all at once. Plain replies stay in Email, so nothing is listed twice.
How does Mojobase turn emails into tasks, step by step?
The AI reads for work, not just replies
Each incoming email is checked for something to do or a date to meet: a revised quote by Thursday, a contract to send back, a delivery to confirm. A message that only needs a reply stays in Email's To do.
A suggested task, with its source
The suggestion has a title, a due date, a project if one fits, and a link to the email. It waits in Suggested at the top of Tasks' Inbox with a line on why it was suggested.
Accept, edit or dismiss
One click accepts a suggestion, Edit changes it first, Dismiss drops it, and Accept all takes a whole batch. Every choice is kept, and your latest 25 go to the model as examples.
Or let it add them for you
Switch Tasks' AI to Auto and suggestions about your own tasks are added straight away, marked with a small AI badge, with Undo, and summed up once a day at the top of Today.
Other people's tasks always ask
Assigning a task to a teammate, or changing theirs, always waits for your approval, in either mode. Once approved, they hear about it by email.
Ticked off when the email shows it's done
When you send the reply with the revised quote attached, the AI suggests completing the task and shows your sent email as the evidence.
What do you say to start it?
- “Make a task from this email for Friday.”
- “What did customers ask us to do this week that isn't a task yet?”
- “Turn the action items in Sam's email into tasks in the Website project.”
- “Remind me to chase the Acme quote on Friday.”
- “Which tasks came from email and are now overdue?”
Which emails become tasks, and which don't?
The test is whether the email asks you to do something beyond replying. Here's how a typical morning's mail is treated:
| The email | What Mojobase suggests | Why |
|---|---|---|
| “Could you send a revised quote by Thursday?” | Task: send revised quote to Lumen, due Thursday | Real work with a date |
| “Our contract renewal is attached; please sign and return it.” | Task: sign and return the renewal | Something to do beyond a reply |
| “Are you free for a call next week?” | Nothing in Tasks; it's on To do in Email | Only needs an answer |
| “Your order has shipped.” | Nothing | Routine, asks nothing of you |
| “Remember the stand needs booking by the 30th.” | Task: book the trade show stand, due the 30th | A date to meet |
Why turn emails into tasks at all?
Because an inbox is a bad to-do list. Work that arrives by email sits between newsletters and receipts, has no due date and no owner, and disappears the moment something newer lands. A task has a date, an owner and a place in a project, and it shows up on Today when it's due. The link back to the email keeps the context one click away.
Why does it matter that the AI sees the whole business?
Because a good task needs more than the email. If the revised quote needs last year's prices, the suggestion can link the document. If the date clashes with a full day in Calendar, the AI can say so. Mojobase reads Email, Tasks, Calendar and Documents together, so its suggestions fit the work you already have.
Questions people ask
Does every email become a task?
No. Only email that asks for real work or carries a date is suggested as a task. Messages that just need an answer stay in Email's To do, and newsletters and notifications are ignored.
Can I make a task from an email myself?
Yes. Ask in Quick actions (⌘K) while the email is open, such as “make a task from this for Friday”, or type it in Quick Add with the usual date, project and priority shortcuts.
Are tasks from email added without asking?
Not by default. They wait in Suggested until you accept them. If you switch Tasks to Auto, suggestions about your own tasks are added straight away, with Undo, while anything that affects another person still asks.
Can I use Mojobase Tasks if I already use Todoist?
Yes. Mojobase imports your Todoist projects, sections, tasks and who each is assigned to, and Quick Add uses the same syntax for dates, projects, labels and priorities, so your habits carry over.
