Mojobase for agencies
Mojobase runs the work around a small agency's client projects: client email, a CRM that fills itself from that email, a project per client, client channels in Team chat, proposals in Documents and invoices in Numbers. The AI reads all of it together, so it drafts the status update, spots the stuck approval and names the client who's gone quiet.
What does Mojobase do for agencies?
Clients found, not typed in
Everyone you email or meet becomes a person at their company, grouped by web domain. Each client's page shows recent mail, the next meeting, open tasks and files, and flags who's owed a reply or has gone quiet for 30 days.
A project for every client
Projects with sections, and one owner and a due date per task. A client's “can we see the revised banners by Thursday?” arrives as a suggested task, linked to the email, waiting for one click.
Client channels with guests
Invite a client or a freelancer into the channels you choose. Guests don't take a paid seat, and the AI's own suggestions go privately to whoever wrote the message, never into a channel a client can read.
Proposals from your last good one
Ask for a proposal and the AI drafts it in Documents from the closest one you've sent before, with what this client has told you by email.
Status updates that write themselves
Ask for this week's update to a client and the draft lists what shipped, what's waiting on their sign-off and when you next meet, taken from Tasks, Email and Calendar.
Invoices, and who's late
Numbers reads your existing Stripe invoices and shows which clients owe what. The AI checks email, meeting notes, team chat and tasks for agreements, then drafts reminders with the existing Stripe payment link for a person to send.
What would you ask it?
- “Which clients are waiting on a reply from us, oldest first?”
- “Draft Friday's status update for Harbor Studio from this week's tasks.”
- “What did Lumen sign off on in Tuesday's call?”
- “Turn this brief into tasks in the Lumen project and give the design ones to Priya.”
- “Draft a proposal for Fieldhouse based on our last brand refresh proposal.”
- “Which retainer clients haven't heard from us in two weeks?”
Connects to: Gmail and Google Workspace, Microsoft 365 and Outlook, Google Calendar, Stripe.
What does a day at a small agency look like with Mojobase?
Most of the admin is done before the first call, and what's left is decisions. Here is a typical Tuesday for an eight-person studio:
| When | What happens | Where |
|---|---|---|
| 8:30 | The morning sweep has sorted overnight client mail, drafted the replies that need one and listed two approvals that are past due | Email, Tasks |
| 9:15 | Before the 10:00 kickoff you ask for a brief: the client's last emails, the signed proposal and the open tasks | Calendar, Documents |
| 11:00 | After the call you paste your notes. The AI writes the summary, suggests six tasks in the client's project and drafts the follow-up | Calendar, Tasks, Email |
| 14:00 | A client asks in their channel when the site goes live. You mention the AI, and it answers from the project's tasks | Team chat |
| 16:30 | One invoice is 20 days late. The AI finds the client wrote that they're waiting on their own finance sign-off, and suggests holding the reminder until Monday | Numbers, Email |
| Friday | The Friday review lists what shipped for each client, what slipped and who's gone quiet | Home |
Why does an agency need the AI to see everything?
Because no client question lives in one app. “Is the Lumen launch still on for the 20th?” needs the tasks, the client's latest email asking for one more round, and the call where the date moved. “Should we chase Harbor's invoice?” needs the invoice and the email where they asked for more time. An assistant that only sees your inbox, or only your project tool, guesses. Mojobase's AI reads the same records your team does, with each person's access, so its answer comes with the source.
Which tools does an agency stop paying for?
It depends on your stack, but these are the jobs Mojobase covers for a small agency:
- A separate CRM that someone has to keep up to date.
- Chat seats for clients and freelancers, because guests don't take one.
- A project tool for a small team's client work.
- A scheduling link for discovery calls, since Calendar has one-on-one booking links.
- An AI email assistant, because Email sorts and drafts across every address.
- A shared drive for briefs, proposals and contracts.
What should an agency keep using?
Keep the tools that do the craft and the money. Mojobase has no time tracking, resource planning, proofing or client portal, and it does no bookkeeping, expenses or tax, so your design tools, your time tracker if you bill by the hour, and your accounting software stay. Mojobase sits around them and holds the client relationship, the work and the conversation in one place.
Questions people ask
Can clients join our Team chat?
Yes, as guests, into the channels you pick. A guest sees only those channels and doesn't take a paid seat. Freelancers and contractors can join the same way, and a guest who becomes a client is one person in Customers, not a second record.
Is Mojobase a good CRM for an agency?
It's a good fit when new business happens over email and calls: clients and their companies fill themselves in, with every conversation and meeting on one page. It has no deal stages or forecasts, so an agency running a long outbound pipeline is better served by a dedicated sales CRM.
Does Mojobase track time or bill by the hour?
No. Tasks has projects, owners and dates but no timer or timesheets. Numbers reads existing Stripe invoices; it does not create or send them or build them from hours. An agency that bills by the hour keeps its time tracker and invoice issuer.
Can Mojobase report on our clients' ad accounts?
No. Numbers reads your own company's sources, such as Stripe, Shopify and your own ad accounts. It isn't a client reporting dashboard, so keep the reporting tool you use for client campaigns.
What does Mojobase cost for an agency of eight?
$214 a month at list price: $39 for the first person and $25 for each of the other seven, with every app and the AI included. Client guests in Team chat don't add seats. The first 10 companies pay $162 a month, for life.
