Mojobase and Gmail
Connect Gmail to Mojobase once, with Google's sign-in and no password. Mojobase keeps a full copy of the mailbox, sorts new mail into Reply, Important and Routine, drafts replies from your calendar, files and Handbook, and builds your customer list from the conversations. Mail you send goes out through Gmail, so it's in Gmail's Sent folder too.

How do you connect Gmail to Mojobase?
- Open Email Settings → Inboxes → Add an inbox.
- Select “Gmail, as an inbox here” and, if you want it, “Google Calendar, in Calendar”. Click Connect your Google account, then approve on Google's own screen. There's no password to type or store.
- For Who sees it, choose Only me or Everyone in the company. Let AI read this inbox decides whether the AI may read it.
- Mojobase copies the mailbox in the background. New mail shows within seconds, and older mail fills in behind it.
What can you ask once Gmail is connected?
- “Which emails to support@ haven't had a reply since Monday?”

What should you know about Gmail itself?
- IMAP access: Always on for personal Gmail accounts since January 2025; the option to switch it off was removed1
- Sending limit: Google Workspace users can send up to 2,000 messages a day, and trial accounts 5002
- Full mail access for apps: A restricted scope: apps that store or transmit that data on servers must pass a security assessment3
Why use Mojobase with Gmail instead of Gmail on its own?
Gmail holds the mail; Mojobase holds the mail next to everything it's about. An email from a customer sits beside their invoice, last week's call notes, the task someone promised and the refund policy in your Handbook, so the AI's draft says what you agreed, not "I'll look into it". Gmail's search finds a message; Mojobase's search finds the message, the meeting and the file in one list.
Can you keep using Gmail while Mojobase reads it?
Yes. It's the same mailbox, so the Gmail app on your phone keeps working and both stay in step: archive a thread in Gmail and it's archived in Mojobase too. Mail sent from Mojobase goes through Gmail's own servers, lands in Gmail's Sent folder and counts toward Gmail's daily sending limit, the same as mail sent from Gmail.
Should you move from Gmail to Mojobase's hosted email?
Keep Gmail if your business also runs on Google Docs, Drive and Meet: connecting it gives you everything here without moving anything. Consider hosted email if you pay for Google Workspace mainly for mail on your domain. Mojobase hosts business email on your own domain, so mail, calendar and files live in one place with one bill.
Questions people ask
Can Mojobase be a shared inbox for Gmail?
Yes. Set a Gmail mailbox such as sales@ to be seen by the team, and everyone with access works from the same conversations in Mojobase Email, with the AI's labels and drafts. Replies still go out through Gmail, from that address.
Does Mojobase work as a help desk for Gmail?
Yes. In Email Settings → Inboxes, set the mailbox's Who sees it to Everyone in the company. In Customers Settings → Support addresses, switch it to Support. Its mail moves to Customers' Inbox, where conversations have an owner and status, and replies go out through the same Gmail mailbox.
Is Mojobase a CRM for Gmail?
It's a CRM you don't have to fill in. People and companies come from the email and calendar you already have, and each customer's page shows the latest mail, meetings, tasks, files and their Stripe plan together, with who has gone quiet.
Can the AI delete or move my Gmail?
No. No AI tool in Mojobase deletes, moves or marks mail as read. The AI reads and writes drafts; changes to the mailbox happen only when you make them, in Mojobase or in Gmail.
What happens if I disconnect Gmail?
Disconnecting your Google account withdraws Mojobase's permission at Google and stops syncing. Mojobase offers to delete its copy of the mail, and deletes it after 30 days anyway unless you connect again.
