Mojobase and Outlook
Connect Outlook to Mojobase with Microsoft's sign-in, for Microsoft 365 work accounts and Outlook.com alike. Mojobase keeps a full copy of the mailbox, sorts new mail, drafts replies from everything else the business knows, and syncs your Outlook calendar both ways. Mail you send goes out through Outlook, so it sits in Outlook's Sent folder too.
What does Mojobase read from Outlook?

How do you connect Outlook to Mojobase?
- Connect your Microsoft 365 or Outlook.com mailbox in Mojobase Email, starting in Email Settings → Inboxes → Add an inbox.
- Sign in with your Microsoft account and approve on Microsoft's own screen. You can connect mail and calendar together.
- For Who sees it, choose Only me or Everyone in the company. Let AI read this inbox decides whether the AI may read it.
- In Calendar, pick which Outlook calendars to bring in. Each gets its own switches for teammates and the AI.

What should you know about Outlook itself?
- Passwords in Exchange Online: Basic authentication for IMAP, POP, Exchange ActiveSync and other protocols was turned off, from 1 October 2022 in most cloud environments1
- Sign-in for mail apps: OAuth 2.0 for POP, IMAP and SMTP AUTH has been available since 20202
- Outlook.com: Since 16 September 2024, Basic Authentication is no longer available to access any Outlook account; other mail apps must use modern authentication3
- Meeting updates: Updating a meeting through Microsoft Graph sends meeting updates to its attendees; a series with separately changed occurrences sends one per occurrence4
- Admin approval: Microsoft Entra admins choose whether users may consent to apps themselves; the admin consent workflow lets users ask an admin to approve one5
Why connect Outlook to Mojobase instead of using an Outlook add-in?
Because the AI needs more than the message in front of it. An Outlook add-in sees the open email; Mojobase sees the email next to the customer's history, the calendar, the team's tasks and the Handbook, and drafts from all of it. "Can we move Thursday?" gets a reply with two times that work for everyone involved, not a request to check your diary.
How does the Outlook calendar sync work?
Mojobase keeps a copy of each Outlook calendar you pick and syncs it both ways through Microsoft Graph, over a window from 60 days back to a year ahead. Changes made in Mojobase go to Outlook within seconds; changes made in Outlook arrive within five minutes. One rule differs from Google Calendar: on an Outlook calendar, events Mojobase creates go across without guests, because Microsoft would send the guests an update on every change.
What happens when you disconnect Outlook?
Mojobase deletes its copy of your calendars and the sealed sign-in it kept, and stops syncing mail. The permission you gave stays listed in your Microsoft account until you remove it there, so remove Mojobase in your account's app permissions as well if you're leaving for good.
Questions people ask
Does Mojobase work with both Microsoft 365 and Outlook.com?
Yes. Mojobase signs in through Microsoft's own screen, which takes work accounts on Microsoft 365 and personal Outlook.com and Hotmail accounts alike. You never give Mojobase your Microsoft password.
Does my Microsoft 365 admin need to approve Mojobase?
Only if your organization stops people approving apps themselves. Then Microsoft's sign-in asks for an admin, and once an admin approves Mojobase, everyone in the organization can connect their own mailbox.
Is Mojobase a CRM for Outlook?
Yes, one you don't fill in. People and companies come from your Outlook mail and meetings, and each customer's page shows their latest emails, meetings, tasks and files together, with who's waiting for a reply.
Can I use Mojobase as a help desk for an Outlook mailbox?
Yes. In Email Settings → Inboxes, set the mailbox's Who sees it to Everyone in the company. In Customers Settings → Support addresses, switch it to Support. Conversations move to Customers' Inbox with an owner and status, and replies go out through the same Outlook mailbox.
Why can't Mojobase change a meeting with guests on my Outlook calendar?
Changing a meeting through Microsoft's calendar API sends meeting updates to its guests. Mojobase never emails your guests behind your back, so meetings with guests on an Outlook calendar are changed in Outlook itself, where you see what goes out.
