Use case
Have AI draft your email replies in your tone
Mojobase drafts each email reply from the thread, the style note for the address it goes from, your Handbook's tone of voice and the facts elsewhere in the business: the call you had, the task's due date, the invoice. Say what the reply should say in a few words, or nothing at all, then read it, change anything and send.
How does Mojobase draft email replies in your tone, step by step?
Set your tone once
The Handbook's business profile holds your tone of voice and your policies, and each address has its own style note and signature. Every draft reads them before it writes a word.
Pick who it's from first
Reply as chooses the address the reply goes from before anything is written, usually the one you last wrote from in that conversation, so the draft is written as that address.
Say what it should say
Type a few words, such as “Thursday works, send the deck”, or leave it blank and let the AI work out what's needed. The draft comes back in full sentences, in your voice.
The facts come from the business
If the reply needs a date, a promise or a number, the AI looks in Calendar, Tasks, Documents and Numbers. Free times come from your calendar's own availability, never guessed by the model.
Rewrite until it's right
Type into the draft, or ask for a change: shorter, warmer, firmer. Each rewrite is a new version, “Show what changed” marks the differences, and any earlier version can be brought back.
You send it
Send gives you a few seconds to Undo, or click Later and pick a time. The recipients, subject, From address and signature are yours, never the model's.
What do you say to start it?
- “Tell Dana we'll hold invoice 1042 until the second delivery.”
- “Reply to Sam that Thursday at 2 works and add it to my calendar.”
- “Offer Jordan two times next week when I'm free in the morning.”
- “Decline the Brightwater sponsorship politely, and keep the door open for spring.”
- “Make this shorter and less formal.”
Why do most AI email replies sound generic?
Because most assistants only see the email. Without the rest of the business, the safest reply is a holding line: “Thanks for reaching out, I'll look into this and get back to you.” It's polite, says nothing, and creates a second email for you to write later. A useful reply needs the facts, and the facts are in your calendar, your tasks and your invoices.
What does the difference look like?
The same four customer emails, answered by an assistant that sees only the inbox and by Mojobase, which sees the business:
| They wrote | Inbox-only assistant | Mojobase's draft | Where the fact came from |
|---|---|---|---|
| “Can you deliver by Friday?” | “Let me check and get back to you.” | “Yes. Sam is bringing it on Thursday afternoon.” | Tasks: the delivery, due Thursday |
| “Didn't we agree to hold invoice 1042?” | “Sorry for any confusion, I'll look into it.” | “You're right: on the 14th we agreed to hold 1042 until your second delivery.” | Calendar: notes from the call on the 14th |
| “What's your returns policy?” | A general answer about returns | The policy as your Handbook states it, in your words | Handbook: the Returns page |
| “Are you free next week?” | “Sure, what works for you?” | “Tuesday at 10 or Wednesday at 2, your time.” | Calendar: your free times, in their time zone |
How does it learn your tone?
From three things you control. The Handbook's business profile says how the company sounds. Each address has a style note, so the support address can be warmer than the founder's own. And the conversation itself shows how formal this thread already is. When a draft misses, edit it or say what to change; the rewrite is a new version, and the old one is still there.
When do drafts appear on their own?
When you switch on a scheduled run. The New mail run drafts a reply wherever one is needed, every 30 minutes while mail arrives, and the Morning sweep does it before you start. Both leave drafts only, waiting in To do for you to check.
Questions people ask
Which AI model writes the drafts?
The one chosen in Settings → AI: Mojobase's included AI, ready from day one, or your company's own API key. Agents you connect over MCP, such as ChatGPT or Claude, can write drafts too, acting as you.
Does the AI send replies without me?
The replies wait as drafts for you to read and send. Scheduled runs, such as the morning sweep, only ever write drafts and suggestions; Mojobase enforces that, rather than trusting the model to remember it.
Does it work with Gmail and Outlook?
Yes. Connect Gmail, Google Workspace, Microsoft 365 or any IMAP mailbox, or host your address on your own domain with Mojobase. Replies go out from the same address, in the same thread.
Can the AI see mail it shouldn't?
It reads only what you can see. Each mailbox has its own AI switch, and a mailbox with AI off is never read by the drafts, the morning sweep or your agents.
