What is an AI executive assistant?

An AI executive assistant is AI that does the work a human executive assistant would: it sorts your inbox, drafts replies, manages your calendar, prepares you for meetings, keeps track of follow-ups and sends a morning briefing. Unlike a chatbot, it works across your email, calendar, documents and tasks, and usually prepares the work for you to approve.

What does an AI executive assistant do?

An AI executive assistant does the desk work of running someone's day, and leaves the decisions to them. Mapped against what a human assistant would do:

A human EA would An AI executive assistant What still needs you
Go through the inbox first thing Sorts new mail into needs a reply, waiting on others and can wait Nothing, for most mail
Draft routine replies Drafts replies with the facts from your other tools Reading and sending
Keep the diary Finds free times, offers them, holds them, schedules Accepting meetings with new people
Prepare you for meetings Writes a brief: who, what was said before, what's open Reading it
Chase what's owed Spots unanswered emails and overdue items, drafts the nudge Deciding who to chase hard
Take notes and actions Turns meeting notes into tasks and a follow-up draft Checking the tasks
Brief you each morning A short note of what came in, what's due and what needs you Making the calls it flags
Look after the details Reminders, document drafts, research summaries Anything by phone or in person

How is an AI executive assistant different from a human one?

An AI executive assistant is faster, cheaper and always on, but has none of a person's judgement about people. The trade-offs:

Human executive assistant AI executive assistant
Cost A salary Typically a few dollars to about $50 a month
Hours Working hours All day, every day; runs while you sleep
Speed Minutes to hours Seconds
Context Remembers what they've seen and heard Only what it can read in your tools
Judgement Reads people and situations Follows your written rules; misses subtext
Phone and in-person Yes Rarely
Mistakes Learns from feedback Repeats a mistake until the rule or instructions change

For most owners of small businesses, the choice was never AI or a person: it was AI or nobody, with the owner doing it all at night.

What's the difference between an AI executive assistant, an email assistant and a chatbot?

The difference is how much of your day it can see and act on. A chatbot answers what you ask; an email assistant works on your inbox; an executive assistant works across your inbox, calendar, documents and tasks, and on its own schedule.

Chatbot AI email assistant AI executive assistant
Starts work When you ask When mail arrives On a schedule, and when things arrive
Sees What you paste in Your inbox Inbox, calendar, documents, tasks, customers
Produces Answers Sorted mail and drafts Briefs, drafts, scheduled meetings, tasks, reminders
Example job "Rewrite this email" "Draft replies to new mail" "Prepare me for tomorrow and chase what's overdue"

What kinds of AI executive assistant are there?

AI executive assistants come as add-ons to the email you have, as AI "employees" that connect to many tools, as AI built into your office suite, or as part of a system that holds the whole business. Examples, from each company's own pages, checked on 7 November 2026:

  • Add-on assistant: Fyxer sorts and labels email, drafts replies in your tone, records meetings and keeps a follow-up list; Pro is $37 a person a month billed yearly.
  • AI employee: Lindy connects to your tools and works on inbox clearing, meeting prep, CRM updates, reports and phone calls; Team has US offers from $29.99 an active user a month, metered in credits.
  • Built into the suite: Gemini comes in Google Workspace's plans, and Microsoft 365 Copilot in its "with Copilot" plans from $23.50 a user a month paid yearly.
  • A general assistant with connectors: Claude's Gmail and Google Calendar connectors can search and draft mail, create events and find times when everyone is free, asking before it sends.
  • An all-in-one system: the email, calendar, documents, tasks and customers live in one place, so the AI starts with the whole picture.

How do you choose an AI executive assistant?

Choose by what it can see, what it may do alone, and whether you can check its work. Five questions:

  1. Does it see beyond email? A meeting brief needs the calendar, past mail, the open invoice and the notes.
  2. Does it work without being asked? A morning briefing and overnight drafts are the point.
  3. What may it do on its own? Look for a choice per kind of action: file mail at once, but draft every reply.
  4. Can you see and undo what it did? One log of every action, with undo.
  5. Whose model is it? Some let you choose the AI model, or bring your own.

How does Mojobase work as an AI executive assistant?

Mojobase's AI works like an executive assistant who sees the whole business. Each morning the Morning sweep goes through new mail, the day's calendar and open tasks, drafts replies, suggests tasks and flags what's stuck; the New mail run drafts replies as mail arrives; and on Friday the review writes up the week. Only the few decisions that need you reach Needs you today, at most three.

Runs only ever write drafts and suggestions, which Mojobase enforces itself. For everything else, each kind of change is set to Suggest or Auto, and Activity records every action with Undo. The AI reads the Handbook's business profile first, so it knows your prices, policies and tone, and you choose the model: ChatGPT, Claude, Gemini, Grok, Hermes or your own setup. Questions people ask

Can an AI replace an executive assistant?

For much of the desk work, yes: sorting mail, drafting replies, scheduling, meeting briefs and follow-up lists. Not for the human parts: judgement about people, handling a delicate call, managing your family's diary or booking a table by phone. Many owners use AI where they'd never have afforded a person.

How much does an AI executive assistant cost?

From nothing extra to about $50 a person a month. On pricing pages checked 7 November 2026, Fyxer's Pro plan is $37 a month billed yearly and Lindy's US Team offers start at $29.99 per active user a month; AI built into Google Workspace or Microsoft 365 comes with those suites.

Is it safe to give an AI my inbox and calendar?

Safe enough with the right limits: it should act as you and see only what you can, draft rather than send until you trust it, keep a log of everything it does with a way to undo, and treat what it reads in email as information, not instructions.

What's the difference between an AI executive assistant and an AI email assistant?

An AI email assistant works on your inbox. An AI executive assistant works on your day: email, but also the calendar, meetings, tasks, documents and follow-ups, and the links between them, such as turning a promise in an email into a task with a date.

Does an AI executive assistant make phone calls?

Some can. Lindy, for example, lists phone calls among the work its AI does. Most AI executive assistants stay with email, calendar and documents, and phone calls remain a job for a person or a dedicated phone service.
