What is an SOP?
SOP stands for standard operating procedure: written, step-by-step instructions for a task the business does again and again, so anyone can do it the same way. The US EPA defines one as "a set of written instructions that document a routine or repetitive activity". Small businesses use SOPs for refunds, onboarding, invoicing and opening up.

What does SOP mean in business?
In business, an SOP is the agreed, written way to do a routine task. It turns "ask Maria, she knows how" into steps anyone on the team can follow, so the work comes out the same whoever does it and whenever they do it.
The term comes from quality systems in labs, factories, hospitals and the military, where a missed step has real consequences. The US Environmental Protection Agency's guidance on writing SOPs says they minimise variation "even if there are temporary or permanent personnel changes", and lists the payoff as "reduced work effort, along with improved comparability, credibility, and legal defensibility". A five-person business has the same problem on a smaller scale: when the one person who knows how to do the refunds is on holiday, nobody does them right.
What does an SOP include?
An SOP includes what the task is, who does it, when it starts, the steps in order, and what to do when something doesn't fit. The EPA's template for administrative procedures has a title page, contents, purpose, procedures, quality checks and references. For a small business, eight short parts are enough:
| Part | What goes in it | Example: refund requests |
|---|---|---|
| Title | The task, in the words people search for | Handling a refund request |
| Purpose | Why the procedure exists, in one line | Refund fairly and fast, the same way every time |
| Owner | The one person who keeps it current | Maria, customer support |
| Trigger | What starts it | A customer asks for their money back |
| Steps | Numbered, one action each | Check the order date, then the item, then refund |
| Exceptions | What to do when it doesn't fit | Outside 30 days: offer store credit, ask Maria |
| Related | Forms, templates, other SOPs | Refund email template, returns label SOP |
| Last reviewed | The date it was last checked | 7 November 2026 |
What does a good SOP look like?
A good SOP is short, numbered and specific enough that a new starter could follow it on day one. Here is a complete one for a small online shop:
Handling a refund request. Owner: Maria. Applies to any order paid online.
- Find the order by the customer's email address or order number.
- Check the order date. Within 30 days of delivery, continue; after that, go to the exceptions.
- Ask for a photo if the item is described as damaged.
- Refund to the original payment method; never by bank transfer.
- Send the refund confirmation email from the template, with the amount and the 5 to 10 working days it takes.
- Note the reason on the customer's record: damaged, wrong item, changed mind or other.
- If the reason is "damaged", tell the warehouse lead the same day.
Exceptions. After 30 days, offer store credit. Over $500, or a third refund from the same customer this year, ask Maria before refunding.
Every step is one action in the active voice, which is what the EPA asks for too: "a concise, step-by-step, easy-to-read format", in "the active voice and present verb tense".
How do you write an SOP?
You write an SOP by watching the task being done, writing the steps in order, and testing them on someone who hasn't done it before.
- Pick the task. Start with work that repeats every week and costs money or customers when done wrong.
- Capture how it's really done. Watch the person who does it best, or read the last few times it was handled by email.
- Write one action per step. Start each with a verb: check, send, record. Put numbers and limits in, such as 30 days or $500.
- Add the exceptions. Most mistakes happen in the cases the steps don't cover.
- Test it. Hand it to someone new and watch where they hesitate. Fix those steps.
- Name an owner and a review date. The EPA suggests reviewing on a schedule, for example every one to two years, and updating whenever the process changes.
- Keep it where the work happens. An SOP nobody can find in the moment isn't followed. The EPA's own words: otherwise "SOPs serve little purpose".
What's the difference between an SOP, a policy, a process and a checklist?
They describe the same work at different levels. A policy is the rule, a process is the big picture, an SOP is the how-to, and a checklist is the tick-box version used while doing it.
| Document | Answers | Example |
|---|---|---|
| Policy | What's the rule, and why? | We refund within 30 days of delivery |
| Process | What happens, end to end? | Order, delivery, return, refund, restock |
| SOP | How exactly do we do this part? | The seven steps for handling a refund request |
| Checklist | Did I do every step this time? | Date checked, photo received, refund sent, reason logged |
The EPA puts the relationship plainly: "the checklist is not the SOP, but a part of the SOP".
Which SOPs should a small business write first?
Write first the SOPs for tasks that happen often, involve customers or money, and depend on one person. For most small businesses that means:
- Handling refunds and returns
- Answering the five most common customer questions
- Onboarding a new customer or client
- Sending invoices and following up on late payments
- Onboarding a new team member: accounts, tools, first week
- Opening and closing, for anything with premises
- Handling a complaint or a bad review
- Paying suppliers and checking their bills
How does AI use SOPs?
AI uses SOPs as its instructions. An AI assistant asked to "handle this refund" has to guess your rules unless they're written down; with the SOP in front of it, it can check the date, draft the confirmation in your words and flag the exceptions to a person. The same SOP that trains a new hire trains the AI, which makes writing them down worth more than it used to be.
AI also lowers the cost of writing them. It can draft an SOP from how a task was actually handled in past emails, and spot when a newer email contradicts the written steps.
How does Mojobase handle SOPs?
In Mojobase, SOPs live in the Handbook, where pages start from templates such as How-to and Policy and each has a status (Draft or Approved), an owner, a review-by date and its sources. Ask "write a page on how we onboard a new client, based on the last three onboarding emails" and the AI drafts it for a person to approve.
When the AI drafts replies, plans tasks or answers customers, it reads the Handbook first, so your SOPs shape what it writes. If it edits an approved page, the page shows "Changed by AI since approval" until a person confirms it, and every change is in the history with Undo. Pages past their review date appear in the Handbook's review list. More on the Handbook page.
If the decision also involves training records, compare Trainual alternatives.

Questions people ask
What does SOP stand for?
Standard operating procedure. In a business it means a written set of steps for a routine task. People also say "standard procedure" or just "process doc"; the idea is the same: the agreed way to do something, written down.
What is an example of an SOP?
A refund SOP: check the order date against the 30-day window, confirm the item's condition, refund to the original payment method, email the customer a confirmation, and log the reason. Anyone handling a refund follows the same steps and gives the same answer.
How long should an SOP be?
As short as the task allows: most small-business SOPs fit on one page, with five to fifteen steps. If it runs longer, it's usually several procedures in one. Split it, and link the parts.
How often should SOPs be updated?
Whenever the way the work is done changes, and on a schedule otherwise. The US EPA's guidance suggests a periodic review, for example every one to two years, and withdrawing any SOP for a process that's no longer followed.
What's the difference between an SOP and a policy?
A policy says what the rule is and why; an SOP says how to carry it out. "We refund within 30 days" is policy. The steps for checking the date, issuing the refund and telling the customer are the SOP.
Can AI write an SOP?
AI can write a good first draft from how the task was actually done, such as the last few emails where someone handled it, and keep it current when the process changes. A person who does the work should check it before it becomes the agreed way.
