# Turn meeting notes into tasks and a follow-up

Type or paste your notes on the meeting in Mojobase Calendar. The AI writes a short summary on the event, suggests a task for each action with an owner and a date, and drafts the follow-up email to the guests. You keep or dismiss each task and send the email. ## How does Mojobase turn meeting notes into tasks, step by step?

1. ### Notes go on the meeting
  Open the event and type during the call, or paste notes afterwards from a notebook, a document or a recorder's transcript. They stay on that event, or on that one occurrence of a repeating meeting.
2. ### A summary, with its sources
  The AI writes a few lines on what was discussed and decided, and each point links back to the line in your notes it came from.
3. ### Each action becomes a suggested task
  “Sam to send the revised quote by Thursday” becomes a task for Sam, due Thursday, linked to the meeting. Keep or dismiss each one; tasks for teammates wait for your approval before they're assigned.
4. ### The follow-up email, drafted
  A recap to the guests with what was agreed and who's doing what, as a draft in Email from your address, in your tone. You read it, change anything and send.
5. ### Decisions written down
  If the meeting decided something the team should remember, such as a new price or a policy change, ask for a Handbook page from the Meeting decision template, citing the notes.

## Why do meeting actions get lost?

Because the notes and the to-do list live in different places. Someone writes “Sam to send PO” in a notebook, the notebook closes, and on Thursday nobody remembers who was meant to do what. Turning notes into tasks by hand takes ten minutes most people don't have straight after a call. Mojobase does it from the notes themselves, while the meeting is still on the screen.

## Why does it help that the AI sees the whole business?

Because a good follow-up connects the meeting to everything else. If “the PO” means last month's purchase order in Documents, the task links that file. If the supplier's email from yesterday changed a date, the recap uses the new one. Notes on their own can't do that; notes inside the business can.

### Does Mojobase record or transcribe meetings?

No. Mojobase doesn't join, record or transcribe calls. It works from notes you type or paste, so if you use a meeting recorder, paste its notes or transcript into the event and the rest works the same.

### Are tasks from meeting notes added automatically?

They're suggested first, and you keep or dismiss each one. With Tasks set to Auto, your own tasks are added straight away with Undo, while tasks for other people always wait for your approval.

### Does the follow-up email go to guests automatically?

No. It's a draft in Email for you to read and send, with the guests already filled in. Nothing reaches the people you met until you send it.

### Can I use notes from Google Docs or a notebook app?

Yes. Paste the text into the event. The AI treats pasted notes as the record of the meeting and links every point in the summary to the part of the notes it came from.
