# What is an AI email assistant?

An AI email assistant is software that uses a large language model to read, sort and write email for you. It sorts new mail by what needs you, summarises long threads, drafts replies in your tone and reminds you about follow-ups. Some are built into Gmail or Outlook, others sit on top; the useful ones draft while you decide.

## What does an AI email assistant do?

An AI email assistant does the reading and first-draft writing that takes most of the time in email. The jobs it handles, roughly in the order people value them:

| Job | What it means | Example |
| --- | --- | --- |
| Sorting | Labels or separates mail as it arrives | "Needs a reply", "Waiting on others", newsletters and receipts out of the way |
| Drafting | Writes a reply for you to check | A polite no to a sales pitch, a yes with three times offered |
| Summarising | Shortens long threads | "Ana wants the order split into two deliveries; the second date is open" |
| Follow-ups | Notices what hasn't been answered | A draft nudge when a supplier hasn't replied in four days |
| Search and questions | Answers questions about your mail | "What did Northside say about the price increase?" |
| Briefings | Summarises a day or week | A morning note of what came in and what needs you |

Underneath, each of these is a large language model given the text of your emails and asked to classify, summarise or write. The difference between assistants is mostly in what else the model is given: just the one message, the whole thread, your sent mail, or your calendar, documents and customer records as well.

## What are the kinds of AI email assistant?

AI email assistants come in four kinds, depending on where they sit relative to the email you already use. These examples and prices are from each company's own pricing page, checked on 7 November 2026:

| Kind | How it works | Example |
| --- | --- | --- |
| Built into your email suite | AI inside the mail app you already pay for | Gemini in Gmail, included in Google Workspace plans; Microsoft 365 Copilot in Outlook, in the "with Copilot" plans from $23.50 per user a month paid yearly |
| Add-on assistant | Connects to your Gmail or Outlook and works in the background | Fyxer: sorting and drafts in your tone on Pro, $37 per person a month billed yearly |
| AI email app | A separate email client, with AI built in, on top of your account | Superhuman Mail Starter, $25 per member a month billed yearly; Shortwave Pro, $18 per seat a month |
| General AI agent | An assistant that handles email among other jobs | Lindy Team, with US offers from $29.99 per active user a month, metered in credits |

The kinds trade convenience against reach. A built-in assistant needs no setup but sees only that suite. An add-on keeps your current app. A new email app can change the whole experience but means learning a new tool. A general agent reaches further but needs more setting up.

## What can an AI email assistant see?

An AI email assistant can only write as well as what it can see, and most see only email. That covers a lot: the thread, your past replies, your tone. It doesn't cover the facts a business reply often needs, such as whether the invoice was paid, what was agreed on last week's call, or whether the order has shipped.

This is why drafts from email-only assistants often read well but say little: "Thanks for getting in touch, I'll look into this and get back to you." The useful draft, "Your second delivery goes out Thursday; we've held invoice 1042 until it arrives", needs the calendar, the tasks and the numbers too.

## What are the risks of an AI email assistant?

The risks are mistakes sent in your name, data you didn't mean to share, and instructions hidden in incoming mail. Each has a practical defence:

- **Wrong replies sent automatically.** Keep the assistant on drafting until you trust it, and let it send on its own only for narrow, low-risk kinds of mail.
- **Prompt injection.** An assistant that reads email reads attackers' email too. OWASP, the security standards group, ranks prompt injection first among risks to AI applications, including "indirect" injection from content the model reads. An assistant shouldn't be able to forward, delete or pay just because a message tells it to.
- **Privacy.** Find out whether the provider uses your mail to train models, and where it's stored.
- **Lost track.** You should be able to see everything the assistant did, and undo it.

## How do you choose an AI email assistant?

Choose by where your email lives, what the assistant can see, and what it's allowed to do. Five questions settle most choices:

1. Does it work with your email provider, or can it host your address?
2. Does it see only email, or also your calendar, documents, tasks and customers?
3. Does it draft for you to send, and can you choose what it does on its own?
4. Is there a log of its actions, with undo?
5. Is it priced per person, per credit, or per action, and what does a busy month cost?

## How does Mojobase work as an AI email assistant?

Mojobase Email is an AI email assistant with the whole business behind it. It hosts business email on your own domain or connects the Gmail and Outlook mailboxes you already have, sorts new mail as it lands, and drafts replies with the facts in them: the Stripe invoice in Numbers, the promise from the call, the delivery date from Tasks, in the tone set in your Handbook.

Scheduled runs, such as the morning sweep and the new-mail run, only ever write drafts and suggestions; for other changes you choose Suggest or Auto by kind. Mojobase's AI never deletes mail, and everything it does is in Activity with Undo. You pick the model: ChatGPT, Claude, Gemini, Grok, Hermes or your own setup. ## Questions people ask

### Is there a free AI email assistant?

Partly. Google Workspace includes Gemini in Gmail in its paid plans with no separate AI line, and some assistants have free tiers with limits: Fyxer's free plan, for example, leaves out drafted replies and inbox sorting, and Shortwave's free plan has a limited AI quota.

### Can an AI email assistant send emails on its own?

Some can, but most are set up to draft and let you send. That's the safer default: a sent email can't be taken back, and an assistant reading your inbox can be misled by an email written to trick it.

### Is it safe to give an AI access to my email?

It can be, with care. Check what the provider does with your mail (whether it's used to train models), what the assistant is allowed to do (read, draft, send, delete), and whether there's a record of its actions. Only connect assistants from providers you'd trust with the mailbox itself.

### Does an AI email assistant work with Gmail and Outlook?

Most do. Gemini is built into Gmail and Copilot into Outlook; independent assistants such as Fyxer connect to Gmail and Outlook accounts, and email apps such as Superhuman and Shortwave run on top of them.

### How does an AI email assistant learn my writing style?

Usually by reading your sent mail. It picks up how long your replies are, how you greet people and sign off, and phrases you use. Some also let you write instructions, such as "never use exclamation marks" or "always offer a call".

### What's the difference between an AI email assistant and an email client?

An email client is the app you read mail in, such as Gmail, Outlook or Apple Mail. An AI email assistant adds the reading, sorting and writing. Some assistants are full clients with AI built in; others add AI to the client you already use.
