# What is a KPI dashboard?

A KPI dashboard is one screen showing the handful of numbers that tell you how the business is doing, its key performance indicators, each compared with a target or the period before. For a small business that usually means sales, cash coming in, money owed, customers and marketing return, updated automatically so nobody rebuilds the report every Monday.

## What's the difference between a KPI and a dashboard?

A KPI is one number tied to a goal; a dashboard is the screen that puts the key ones together. "Sales this week" is a KPI when you compare it with a target and act on it. The dashboard's job is to show the handful of KPIs side by side, each with its comparison, so you can see in a few seconds whether anything needs you.

A good small-business dashboard answers four questions at a glance:

1. Are we selling what we expected?
2. Is cash coming in, and who owes us?
3. Is marketing paying for itself?
4. Is anything stuck: orders, customers waiting, work overdue?

## What should a small business KPI dashboard show?

It should show the few numbers that decide whether the business is healthy, and they depend on the kind of business. Typical sets:

| Business type | KPIs worth tracking | Usually from |
| --- | --- | --- |
| Online shop | Sales, orders, average order value, ad spend, return on ad spend, repeat customers | Shopify or Amazon, the ad platforms |
| Agency or consultancy | New work won, revenue booked, invoices outstanding, days to get paid, utilisation | Proposals, invoicing, time tracking |
| Local service | Bookings, jobs completed, average job value, reviews, no-shows | Booking tool, invoicing, reviews |
| Subscription business | New subscribers, cancellations, recurring revenue, failed payments | Payments, such as Stripe |
| Any business | Cash in this week, overdue invoices, customers waiting on a reply | Payments, invoicing, email |

Return on ad spend deserves care: each ad platform credits itself with sales, so add their claims together and they often exceed what you sold. The [ROAS explainer](https://mojobase.ai/learn/what-is-roas) shows how to calculate a blended figure instead.

## What makes a KPI dashboard useful?

A KPI dashboard is useful when it's short, compares like with like, and needs no one to update it. The habits that make the difference:

- **Five to ten numbers,** not fifty charts. EOS's weekly Scorecard allows five to 15, each with one owner, a weekly goal and 13 weeks of history.
- **A comparison for every number:** a target, last week or last year. A number alone tells you nothing.
- **Fair comparisons:** compare a Monday with last Monday, not with Sunday, since weekdays differ.
- **One definition per number,** written down. "Sales" before or after refunds, tax and shipping gives very different figures, and two tools rarely agree.
- **Automatic data,** pulled from the source each day rather than pasted in.
- **An owner for each number,** who explains it when it moves.
- **A link to the detail,** so a surprising figure is one click from the orders, invoices or campaigns behind it.

## What are the most common KPI dashboard mistakes?

Most dashboard mistakes come from tracking what's easy to count rather than what decides the business. The usual ones:

1. **Vanity metrics,** such as followers or page views, that feel good and change nothing.
2. **Too many numbers,** so the important change hides among unimportant ones.
3. **Mixed definitions:** one tool's "gross sales" next to another's "net sales", added together.
4. **Double counting:** each ad platform's claimed sales summed as if they didn't overlap.
5. **No action:** a dashboard looked at, but never discussed with a "so what do we do?"
6. **Stale data:** numbers last updated by hand three weeks ago.

## What tools can you use for a KPI dashboard?

You can build a KPI dashboard in a spreadsheet, in a reporting tool connected to your data, or use one built into the software you already run. The trade-off is effort against fit:

| Option | Effort | Good for |
| --- | --- | --- |
| Spreadsheet | High: numbers pasted in by hand | Getting started; a few numbers weekly |
| Reports inside each tool | Low, but one tool at a time | Checking Shopify, Stripe or an ad platform alone |
| Ecommerce analytics platforms | Setup and a subscription | Brands deep in ads and attribution: Triple Whale has a free plan; Polar Analytics' Core plan is price on request, with a demo required for a quote (checked 7 Nov 2026) |
| Reporting tools connected to your data | Moderate: someone builds and maintains it | Custom views across many sources |
| A system that already holds the data | Low | Businesses whose sales, money and customers live in one place |

## How does AI change KPI dashboards?

AI changes dashboards from something you read to something that tells you what changed. Instead of scanning ten numbers every morning, an AI reads them and writes two lines: "Meta spend is up 38% on last week while Shopify sales are flat; two campaigns account for most of it." The value grows when the AI can also see why: the supplier email about a delay, the customer who asked for more time to pay, the task that's overdue. A dashboard shows that a number moved; an AI with the rest of the business in view can suggest the reason.

## How does Mojobase work as a KPI dashboard?

Mojobase Numbers is a KPI dashboard that fills itself in. It shows total sales from Shopify and Amazon, ad spend across Meta, Google and Amazon Ads, a blended return on ad spend, orders, Stripe payments, and invoices with who owes what, each compared with the period before; a single day is compared with the same weekday last week. Periods run from Today so far to Last month, with one chart of the last 30 days.

Each morning the AI reads the numbers next to your email and tasks and flags what's unusual, and you can ask in Quick actions (⌘K), "why is return on ad spend down this week?" Numbers doesn't do bookkeeping, tax or profit, and it doesn't build custom charts; for deep attribution, an ecommerce analytics platform goes further. ## Questions people ask

### What does KPI stand for?

Key performance indicator: a number that shows whether the business is moving towards a goal. "Key" is the important word. A business can track hundreds of metrics, but only a handful are key.

### How many KPIs should a small business track?

Five to ten. Fewer, and you'll miss a problem; many more, and nobody reads them. Pick one or two for each area that could sink the business: sales, cash, customers, marketing and delivery.

### What is the difference between a KPI and a metric?

Every KPI is a metric, but most metrics aren't KPIs. Page views, emails sent and followers are metrics. A KPI is one tied to a goal you act on, such as sales this week against target, or invoices more than 30 days late.

### Can I build a KPI dashboard in a spreadsheet?

Yes, and many small businesses start there. The weakness is the copying: someone has to paste in this week's numbers from each tool, so the dashboard is only as fresh and accurate as the last person who updated it.

### How often should I look at a KPI dashboard?

Daily for numbers that move daily, such as sales and ad spend in ecommerce; weekly for the rest. A fixed weekly look, with the same numbers in the same order, turns a dashboard into decisions. EOS's Scorecard, for example, tracks five to 15 weekly numbers, each with one owner and a weekly goal.
