# What is a booking link?

A booking link is a web address you send so other people can choose a meeting time with you themselves. It shows only your free times, within rules you set, such as meeting length, working hours and gaps between meetings. When someone picks a slot, the meeting goes onto your calendar and both of you get an invite.

## How does a booking link work?

A booking link works by publishing a page that reads your calendar and offers only the times that fit your rules. The whole exchange takes a minute:

1. You create a link for one kind of meeting, such as a 30-minute intro call.
2. You send the link in an email, put it in your signature, or add it to your website.
3. The guest opens it and sees your free times, in their own time zone.
4. They pick a time and answer any questions you've set, such as "what would you like to discuss?"
5. The meeting goes onto your calendar, and both of you get a confirmation with an invite.
6. The guest gets a private link to move or cancel, which updates your calendar too.

## What settings does a booking link have?

A booking link's settings decide which of your free times it offers and what happens after someone books. The common ones:

| Setting | What it does | Example |
| --- | --- | --- |
| Length | How long the meeting is | 30 minutes |
| Availability | Days and hours you take these meetings | Tuesday to Thursday, 10am to 4pm |
| Calendars checked | Which calendars count as busy | Work and personal, so a dentist appointment blocks it |
| Minimum notice | How soon someone can book | Not within the next 24 hours |
| Booking window | How far ahead someone can book | Up to 30 days out |
| Gaps | Free time kept before and after | 15 minutes either side |
| Daily limit | Most of these meetings in one day | 3 a day |
| Questions | What the guest answers when booking | Company, topic, phone number |
| Confirmations and reminders | Messages sent to the guest | A confirmation at once, a reminder the day before |
| Reschedule and cancel | The guest's own link to change it | Moves the event on your calendar |

The settings that matter most are often the least used: minimum notice, gaps and a daily limit are what stop a booking link from filling every free minute of your week.

## What kinds of booking link are there?

Booking links come in a few kinds, depending on how many hosts and guests a meeting has. Calendly, for example, lists one-on-one, group, round-robin and collective event types.

| Kind | Who meets | Example |
| --- | --- | --- |
| One-on-one | One host, one guest | A sales call or consultation |
| Group | One host, several guests at the same time | A weekly webinar or class |
| Round robin | One of several hosts, chosen automatically | Demo calls shared across a sales team |
| Collective | Several hosts together, when all are free | A client meeting with the account lead and a specialist |

Most small businesses only need the first kind. Round robin and collective links matter once several people share the same type of meeting.

## When is a booking link better than suggesting times?

A booking link is better when the other person is happy to do the scheduling, and suggesting times is better when you should do it for them. A rough guide:

| Situation | Better choice |
| --- | --- |
| Inbound sales call, demo or consultation | Booking link |
| Regular check-ins with existing clients | Booking link |
| First meeting with a senior person or a big customer | Suggest two or three times |
| Several people from different companies | A meeting poll, or suggested times |
| Someone doing you a favour | Suggest times, and offer the link as an option |

## Where can you get a booking link?

You can get a booking link from a dedicated scheduling tool, from your email suite, or from the calendar in software you already use. Some options, from each company's own pricing page, checked on 7 November 2026:

| Tool | Free plan | Paid |
| --- | --- | --- |
| Calendly | One event type, one calendar connection | Standard, $10 per seat a month billed yearly ($12 monthly) |
| Cal.com | Free for individuals, with unlimited links and calendars | Teams, $12 per user a month billed yearly ($16 monthly) |
| Google Workspace | None | Appointment booking pages from Business Standard, $14 per user per month with a one-year commitment, billed monthly |
| Microsoft 365 | None | Bookings among the apps in Business Basic, $7 per user a month paid yearly |

Calendly connects up to six Google, Outlook, Microsoft 365 or iCloud calendars for conflict checking. If you already pay for Google Workspace Business Standard or Microsoft 365, check whether their built-in booking pages are enough before adding another tool.

## How is AI changing booking links?

AI is changing booking from a link you send to scheduling done for you. Instead of pasting a link into a reply, an AI can read the email thread, find two or three times that suit both sides, hold them on your calendar and draft the reply offering them. After someone books, it can read their answers and your past emails with them and put a short brief on the event, so you arrive at the meeting knowing why they booked.

## How does Mojobase handle booking links?

Mojobase Calendar has one kind of booking link: one-on-one meetings, with a set length, availability, gaps around each meeting, minimum notice, how many days ahead, a daily limit and questions for the guest. The public page shows only free times, in the visitor's time zone, and checks the time again as it books, so two people can't take the same slot. The guest gets a private page to move or cancel, and confirmations and reminders go out with fixed wording, switchable on each link.

After a booking, the AI turns the guest's answers and your past mail with them into a short brief on the event. Mojobase has no group, round robin or collective links, and no payments or SMS reminders; for those, Calendly or Cal.com fit better. More on the [Calendar page](https://mojobase.ai/calendar).

## Questions people ask

### What is a booking link used for?

Any meeting where the other person should choose the time: sales calls, client check-ins, interviews, consultations, demos and support calls. It replaces the email thread of "does Tuesday work?" with one link.

### Is a booking link the same as a calendar link?

Not quite. A booking link lets people book a slot. A shared calendar link, such as an .ics feed or a published calendar, lets people see your events or free and busy times but not book anything.

### Are booking links free?

Many are, for one person. On their pricing pages, checked 7 November 2026, Calendly's free plan allows one event type and one calendar connection, and Cal.com's free plan for individuals offers unlimited links. Team features such as round robin cost more.

### Is it rude to send a booking link?

It can be, to someone more senior, a new customer, or anyone doing you a favour, because it hands them the work of scheduling. In those cases, offer two or three times in the email, and add the link as an option.

### Can someone book over an existing meeting?

Not if the link checks your calendar. Booking tools show only times that are free on the calendars you've connected, and good ones check again at the moment of booking, so two people can't take the same slot.
