# Mojobase and Outlook Calendar

Connect Outlook Calendar to Mojobase with Microsoft's sign-in and pick the calendars to bring in. Mojobase syncs them both ways through Microsoft Graph, from 60 days back to a year ahead, so the AI can find free time across your team, hold the slots you offer and prepare each meeting from the email behind it.

## What does Mojobase read from Outlook Calendar?

- The calendars on your Microsoft 365 or Outlook.com account, so you can pick which to bring in
- Every event in a window from 60 days back to a year ahead, with guests, places, descriptions and repeats
- Each repeating series' pattern, and each occurrence you've moved or cancelled on its own
- Changes you make in Outlook within five minutes; changes made in Mojobase reach Outlook within seconds

**Used by:** [Calendar](https://mojobase.ai/calendar), the AI's scheduled runs, Quick actions and your own agents over MCP.

## How do you connect Outlook Calendar to Mojobase?

1. In Calendar Settings → Your calendars…, choose Outlook / 365. In the Connect your Microsoft account form, select Outlook calendar and click Continue.
2. Sign in on Microsoft's screen and approve access to your calendars. Mojobase asks for calendars only, not mail, on this screen.
3. Pick the calendars to bring in. Each one gets two switches: what teammates see, busy times by default, and whether the AI may read it.
4. Keep using Outlook as before. An event added in either place shows in both.

## What can you ask once Outlook Calendar is connected?

- “When are Ana, Sam and I all free for an hour on Wednesday?”
- “Block two hours of focus time every morning next week, around my meetings.”
- “What's on Thursday, and which of those meetings came from a customer email?”
- “Hold three slots for the Northside call and release the rest when they pick.”

## What should you know about Outlook Calendar itself?

- **How changes are found:** Graph's delta query returns events added, deleted or updated in a calendarView, a range of events between a start and an end date[1]
- **Meeting updates:** Updating a meeting through Graph sends meeting updates to its attendees; a series with separately changed occurrences sends one per occurrence[2]
- **Admin approval:** Microsoft Entra admins choose whether users may consent to apps themselves; the admin consent workflow lets users ask an admin to approve one[3]

## Why bring your Outlook calendar into Mojobase?

So the AI can schedule with everything it knows. Outlook knows the time; Mojobase also knows the email that asked for the meeting, the customer's history, the tasks due before it and the notes from last time. "Find a time with Dana" offers slots inside both your working hours and her time zone, holds them so nothing else lands there, and turns the one she picks into the real event.

## How does Mojobase handle repeating Outlook events?

It keeps the pattern and every exception. Microsoft's sync works on single occurrences over a window, so Mojobase also reads each series' pattern and turns it into a standard repeat rule, keeps occurrences you moved as moved and works out the ones you cancelled. Change one occurrence in Mojobase and only that one changes in Outlook; change "this and following" and Outlook gets the same.

## What should a Microsoft 365 admin know before staff connect?

That Mojobase asks only for calendar access on this screen, with nothing for mail. If your organization stops people approving apps themselves, Microsoft's sign-in asks for an admin, and one approval covers everyone. Each person's calendar is theirs in Mojobase: teammates see busy times only unless the owner shares more, and an admin can't open someone's calendar details through Mojobase.

## Questions people ask

### Can Mojobase change meetings with guests on my Outlook calendar?

No. Changing a meeting through Microsoft's calendar API sends its guests an update every time, and Mojobase never emails your guests without you. So meetings with guests are changed in Outlook, and events Mojobase creates on an Outlook calendar go across without guests.

### How far ahead and back does the Outlook sync reach?

From 60 days in the past to a year ahead, refreshed with a full copy every 30 days so the window moves with you. Older events stay in Outlook; they just aren't copied into Mojobase.

### Does it work with a personal Outlook.com calendar?

Yes. Microsoft's sign-in takes personal Outlook.com and Hotmail accounts as well as Microsoft 365 work accounts, and their calendars sync the same way.

### Can Mojobase add Teams links or answer invitations?

Not from Mojobase. Create the Teams link and accept or decline invitations in Outlook; the event and your answer reach Mojobase within five minutes.
