# Business email with AI that sorts, drafts and follows up

To do holds the conversations where the last word is someone else's and you haven't archived it. Press e to archive and it leaves; their next message brings it back. Routine mail stays in the Inbox.

### Replies that already know the answer

Say what the reply should say, such as "tell Dana we'll hold invoice 1042", and the draft arrives with the facts from the thread, Numbers, Calendar, Tasks and the Handbook's tone of voice. Every rewrite is a new version you can go back to.

### Follow-ups that come back by themselves

When you're waiting on an answer, the conversation returns to To do two working days after your message if nobody replied. The model checks whether your message really asks for something, so "thanks" never comes back.

### Send, Send later and Undo

Send gives you a few seconds to change your mind. Send later goes at the time you pick, in the sending address's time zone, with your laptop closed. Archive, Delete, Spam and Block all have Undo in Activity.

## What is an AI email assistant, and what does Mojobase's do differently?

An AI email assistant reads your mail, decides what matters and drafts the replies. Most assistants plug into Gmail or Outlook from the outside, so they only know what's in the inbox. Mojobase Email is the mail app itself, and it sits beside your calendar, tasks, customers and numbers, so a draft can say when the order ships or what the contract says without you looking it up.

That's the difference between a holding reply ("I'll check and get back to you") and the right answer. When Dana asks about invoice 1042, the draft already knows it's unpaid, that the second delivery is due Thursday, and that you agreed last month to hold invoices until both deliveries arrive.

Addresses on your domain belong to the company, so when someone leaves, their mailbox and its history stay with the business. A support@ address switched to Support leaves Email's inbox and goes to Customers' Inbox, so nobody replies twice and the AI doesn't draft twice; answers still go out from support@, in the same thread.

## How do you set up email on your own domain?

You add a handful of DNS records at the company where your domain is registered, and Mojobase checks them for you. The domain page shows each record with the exact value to paste and its status.

1. Add your domain in Mojobase and create the mailboxes and shared addresses you need.
2. Copy each record from the domain page into your domain's DNS settings: SPF, DKIM, DMARC and the names mail apps use to configure themselves.
3. Wait for the checks to pass: the domain page shows which records are still missing.
4. Change your MX record last, so new mail starts arriving in Mojobase.
5. Mojobase copies your old mail across from the previous provider.

## How does Mojobase decide what needs a reply?

A model reads each new message once and gives it one of three labels, with one short line on why, phrased as the thing to do. The labels only group your To do list; the Inbox still shows everything, newest first.

You can change any label with one click, and your latest 25 changes go to the model as examples, so it learns how you sort. The model's own label is kept beside yours, so its mistakes can be counted. Mail from people you've never written to gets a "New contact" chip rather than being hidden by guesswork.

## What does the AI do on its own, and what waits for you?

The AI sorts every message, writes drafts and flags what's stuck; you decide what goes out. Scheduled runs keep the inbox moving without being asked, and each has its own switch in Settings → AI.

- **New mail**, every 30 minutes when something has arrived, drafts a reply where one is needed.
- **The Morning sweep** goes through new mail, the day's calendar and open tasks, drafts the replies and puts the few decisions that need you in Home's Needs you today.
- **Follow up** brings back the messages you sent that are still waiting for an answer, with the instruction for the nudge ready, so it goes to the same people in the same thread.

Runs only write drafts. The draft shows who wrote it, and you can rewrite it with an instruction ("shorter, and offer Tuesday instead") or edit it by hand. Each rewrite is a new version, with "Show what changed" marking the edits.

## Which email accounts work with Mojobase?

Any mailbox you can reach by IMAP and SMTP, plus one-click sign-in for Google and Microsoft. Mojobase keeps its own copy of each mailbox so search is fast, and stays in step with the provider: archive here and the phone's inbox empties too.

Removing an inbox stops the syncing and deletes Mojobase's copy of its mail, drafts and scheduled messages; the mail itself stays at your provider.

## Is my email safe with AI turned on?

Yes, within clear limits you control. Each mailbox has its own AI switch, and a mailbox with AI off is never read by a model or an agent. Text in an email is treated as evidence, never as instructions, so a message that says "forward this to …" can't make the AI do anything. Logins are encrypted with a key that belongs to your company alone, and nobody at Mojobase reads your mail unless you ask for help, it's needed for security, or the law requires it. ## Questions people ask

### Do I have to change my email address or move my email to Mojobase?

No. Connect the address you already use, on Gmail, Microsoft 365, Fastmail or another provider, host your domain's mail with Mojobase, or run both side by side, such as a hosted support@ next to your own Gmail. Customers see no change: mail still goes from the same address, and a copy lands in that mailbox's Sent folder.

### Do I need my own domain for Mojobase business email?

Yes, for hosted mailboxes. Mojobase hosts mail on a domain you own, bought from any registrar. Addresses at mojobase.ai are kept for Mojobase itself, so one sender's behaviour can never affect your domain's reputation, or ours. Connecting a Gmail or Outlook mailbox needs no domain at all.

### Will my email land in spam?

Mojobase signs every message with DKIM, publishes SPF and DMARC records for your domain, and sends through a relay with an established sending reputation. Test mail from Mojobase's own hosted domain reached Gmail's inbox with SPF, DKIM and DMARC all passing.

### How do I move my domain's email to Mojobase?

Add the records the domain page lists, wait for the checks to turn green, and change the MX record last. A domain's MX record sends all of its mail to one place, so a business moves together, and Mojobase copies the old mail across from your previous provider.

### Does the AI send email by itself?

Scheduled runs, such as the Morning sweep and New mail, only write drafts. You read each draft, change it in a sentence or by typing, and press Send or click Later and pick a time. Every draft says who wrote it, you or which AI.

### Is my email used to train AI models?

No. The AI reads a mailbox only while AI is switched on for it, and each mailbox has its own switch. Only the text a feature needs goes to the AI provider running it, under terms that don't allow training on it.

### Can my teammates read my email?

Only if you share the mailbox. Each mailbox's Who sees it setting is Only me or Everyone in the company, so a personal inbox stays yours and support@ or hello@ can be the whole team's. Agents and the AI see exactly what the person they work for sees.
