# The best MCP servers for a small business

The best MCP servers for a small business are the official ones for the apps your work already lives in: Google Workspace or Microsoft 365 for mail and calendar, Slack and Notion for chat and docs, Pipedrive, HubSpot or Attio for customers, Stripe for payments, Zapier for everything else, or Mojobase's one server for the whole business.

## What makes an MCP server good for a small business?

A good MCP server for a small business is official, remote, signs in with your account and can't do more than you can. Six things to check before you connect one:

1. **Official:** built and hosted by the company that makes the app, not a third party.
2. **Remote with OAuth:** you paste an address into Claude or ChatGPT and sign in; nothing to install or run.
3. **Acts as you:** it sees and changes only what your account can.
4. **Safe defaults:** reading is free, but writing, sending and deleting ask first, or aren't offered at all.
5. **Works in your AI app:** listed in Claude's connector directory or ChatGPT's apps, or addable by address.
6. **On your plan:** some servers need a paid tier of the app.

## Which MCP servers are best for each job?

The best server for each job is usually the official one for the app you already use. These are the official servers we'd consider, with what each company's own documentation says, checked on 7 November 2026:

### Mojobase: the whole business through one server

Mojobase's MCP server reaches every app in Mojobase through one address, so one connection gives your AI mail, events, documents, tasks, people and companies, sales and ad spend, and the Handbook, with `mojobase_search` across all of them. Tools include `mail_search`, `draft_reply`, `calendar_find_times`, `task_add`, `customers_person`, `numbers_summary` and `knowledge_business_profile`. It acts as you, under the same rules as your screens, and every action shows in Activity with Undo. It's the right pick when your work lives in Mojobase; it doesn't reach apps outside it.

### Google Workspace MCP servers: for businesses on Google

Google offers [remote MCP servers](https://developers.google.com/workspace/guides/configure-mcp-servers) for Gmail, Drive, Docs, Sheets, Slides, Calendar, Chat and Classroom, acting under the user's permissions. They're the natural choice for a business that runs on Google Workspace. For now they're a Developer Preview: you need to join Google's preview programme and set up a Google Cloud project, which is developer work. Our [Gmail MCP page](https://mojobase.ai/mcp/gmail) covers the Gmail server in detail.

### Microsoft Work IQ: for businesses on Microsoft 365

Microsoft's [Work IQ MCP server](https://learn.microsoft.com/en-us/microsoft-365/copilot/extensibility/work-iq/mcp/overview) exposes Microsoft 365 data, including mail, calendar and Teams chats, with tools to fetch, create, update and delete, and to ask Microsoft 365 Copilot. It's part of Microsoft's developer tools, and its retrieve tool is in public preview, so expect setup work.

### Slack and Notion: chat and documents

Slack's [MCP server](https://docs.slack.dev/ai/mcp-server) searches messages, files and users, sends and drafts messages and manages canvases, subject to admin approval. Notion's [MCP](https://www.notion.com/help/notion-mcp) reads and writes pages for Claude, ChatGPT and Cursor, with your full Notion permissions, so a careless request can edit any page you can.

### Pipedrive, HubSpot and Attio: customers

Pipedrive's [official server](https://www.pipedrive.com/en/features/mcp-server) is a ready-made connector in Claude and ChatGPT on all plans, and its AI sees only what you can. HubSpot's [remote server](https://developers.hubspot.com/ai-tools/mcp) reads contacts, companies and deals. Attio's [hosted server](https://docs.attio.com/mcp/overview) covers records, notes, tasks, meetings and more; reads are approved automatically and writes ask for confirmation.

### Help Scout and Stripe: support and payments

Help Scout's [MCP connector](https://docs.helpscout.com/article/1779-connect-your-ai-agent-with-help-scout-to-search-conversations-and-pull-reports) is read-only: it searches conversations, customers and Docs content but can't send or edit, which makes it a safe first support server. Stripe's [MCP server](https://docs.stripe.com/mcp), at mcp.stripe.com, works with the Stripe API and documentation; when you connect with OAuth you choose which live accounts or sandboxes it reaches and set permissions for each.

### Todoist, Trello, Calendly and Zapier: tasks, scheduling and the rest

Todoist's [official server](https://www.todoist.com/ai-tools) is available to everyone, free plans included. Trello's [server](https://trello.com/mcp) can archive cards and lists but not delete them. Calendly's [hosted server](https://developer.calendly.com/docs/mcp/calendly-mcp-server) books and cancels meetings and updates availability. [Zapier MCP](https://zapier.com/mcp) reaches apps with no MCP server of their own, more than 9,000 by its count, at the cost of another layer between your AI and the app.

## How many MCP servers should you connect?

Connect as few as cover your work, usually three to five. Every server adds its tools to what your AI must choose from, so ten servers with 20 tools each means 200 options for every request, and more chances it picks the wrong one or asks you to approve something you didn't expect. It also means ten separate sign-ins and ten sets of rules. Start with the app you'd ask about most, add the next when you notice yourself copying from it, and remove servers you don't use.

## How do you use MCP servers safely?

Use MCP servers safely by giving each the least access it needs and keeping writes behind approval. In practice:

- Start read-only where the server allows it, as Help Scout's does by default.
- Keep "ask before acting" on for anything that sends, pays or deletes.
- Watch tools that reach customers: [Gorgias's documentation](https://docs.gorgias.com/en-US/explore-gorgias-mcp-tools-9131180), for example, marks its tools that send messages to customers as needing extra care.
- Remember that what the AI reads, such as an email or a web page, can contain instructions meant for it. Treat it as data.
- Prefer servers that record what they did, so you can check and undo.

## Where does Mojobase fit?

Mojobase fits when your business lives in several apps and you want your AI to see them together. A Gmail server, a calendar server, a CRM server and a task server each know one thing; an answer like "what did we promise Northside, and is their invoice paid?" needs all four. Mojobase holds email, calendar, documents, tasks, customers, numbers and the Handbook in one place, so one server answers it, with one search and one set of rules. Scheduled runs get only reading and drafting tools, enforced by the server itself.

If you're happy in Google Workspace or Microsoft 365 and only need mail and calendar, their own servers are the simpler choice once they leave preview. See [Mojobase's MCP server](https://mojobase.ai/mcp) for the full tool list.

## Questions people ask

### What is the most useful MCP server for a small business?

The one for the app where most of your work happens, usually email and calendar. After that, add servers in order of how often you'd ask about that app: customers, then tasks or documents. A server for an app you rarely use mostly adds tools your AI has to sort through.

### Are MCP servers free?

Most official servers cost nothing extra but come with conditions: Pipedrive's is on all plans, Todoist's is available to everyone including free plans, Help Scout's needs Standard or above, and Zapier's depends on your Zapier plan. Your AI client may also limit custom connectors by plan.

### Do MCP servers work with ChatGPT as well as Claude?

Many do. Several, such as Pipedrive's and Attio's, are in both Claude's connector directory and ChatGPT's apps. Adding a custom MCP server by address in ChatGPT needs a Business or Enterprise/Edu plan, while Claude allows custom connectors on every plan.

### Should I use official or community MCP servers?

Prefer official servers, built and hosted by the company that makes the app. They sign you in with OAuth, follow the app's own permissions and are kept up to date. Community servers can be good, but you're trusting a third party with access to your data.

### How many MCP servers can I connect at once?

Technically many, but each adds tools the AI has to choose between, and more chances for it to pick the wrong one. Most small businesses do better with three to five well-chosen servers, or one that covers several apps.
